BRL100 audit checklist
Checklist for HVAC/R companies preparing a BRL100 audit with installation data, refrigerants, tools and documents.
A BRL100 audit is about proving that work is carried out according to controlled processes. The auditor looks at forms, but also at the connection between installations, work orders, refrigerants, tools, employees and documents.
This checklist helps verify the administration before the audit takes place.
1. Company details and certificates
Check whether the basics are complete:
- trade name, address and contact details;
- company logo for reports and labels;
- F-gas number or relevant certificates;
- certificate validity;
- responsible contact person.
2. Personnel and competence
Record per employee:
- name and role;
- certificate number;
- certificate type;
- validity or related evidence;
- signature for reports;
- active or inactive status.
3. Installation data
An installation must be identifiable and auditable. Consider:
- installation number;
- customer and installation address;
- brand, type and serial number;
- refrigerant and GWP;
- nominal charge, precharge and additional charge where applicable;
- nameplate status;
- indoor units and serial numbers;
- maintenance contract and maintenance history.
4. Refrigerant administration
Check the full cycle:
- opening and closing stock per cylinder;
- purchase invoices;
- disposal or waste documents;
- top-ups per installation;
- recovered refrigerant;
- R-Mixture or mixed content;
- corrections with a reason;
- balance in kg and CO2-equivalent.
5. Work orders and reports
Work orders are proof of execution. Check:
- planning and work order number;
- customer, site and installation;
- completed actions;
- used materials;
- used tools;
- notes and observations;
- photos and documents;
- customer and technician signature;
- automatically generated reports.
6. Tools and calibration
For measuring tools, traceability matters:
- description, brand, type and serial number;
- purchase date;
- next calibration date;
- calibration report;
- assigned technician or general use;
- ATEX suitability where needed;
- HD/R744 suitability where needed.
7. Handbook and work instructions
Make current documents available:
- quality handbook;
- vacuum and pressure test instruction;
- leak detection instruction;
- charging and recovery instruction;
- risk assessment or safety procedure;
- management policy statement;
- management review.
