F-Register privacy statement
This privacy statement applies to F-Register.nl, F-Register.eu and F-Register application environments on subdomains.

What data do we process?
- Contact details you submit, such as name, company name, email address, phone number and message content.
- Account and access data for the F-Register application, such as name, role, email address, password hash, session data and audit logs.
- Data customers store in their own F-Register environment, such as customer data, installation data, work orders, documents, photos, refrigerant records and reports.
- Technical security data, such as IP address, browser information, error logs and server logs.
Why do we process this data?
We process data to provide the website and application, respond to requests, manage SaaS customer environments, secure the service, provide support, invoicing, backups, comply with legal obligations and improve reliability and performance.
Legal bases
Depending on the situation, processing is based on performance of a contract, legitimate interest for security and operations, legal obligations or consent for non-essential cookies and marketing.
Subdomains and customer environments
Each customer environment is logically separated. A customer using F-Register is usually the controller for the data stored in their own environment. F-Register acts as processor and signs a data processing agreement.
Processors and storage
We may use carefully selected suppliers for hosting, email, backups, object storage and technical management. Where suppliers process personal data, appropriate agreements are put in place. Documents and backups may be stored with encryption or restricted access in data centres within the EU/EEA or with appropriate safeguards.
Retention
We do not keep personal data longer than necessary for the purpose for which it was collected, unless a legal retention period applies. Contact requests are generally retained for up to 24 months. Application data is retained while the customer environment is active and afterwards according to the agreement and data processing agreement.
Your rights
You can request access, correction, deletion, restriction, portability or object to processing. Send requests to info@f-register.nl. If you are an end user of an F-Register customer, we may forward your request to that customer as controller.
Security
F-Register uses measures such as HTTPS, roles and permissions, password policy, separated customer environments, logging, backups, restricted access and privacy-by-design/default principles.
Complaints
We prefer to resolve privacy questions together first. You also have the right to lodge a complaint with your local data protection authority.
